JOB SUMMARY:

Schedules appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.

JOB RESPONSIBILITIES:

Essential duties and responsibilities include the following. Other duties may be assigned.

Company Insurance

Assist Treasurer in the administration and maintenance of the Company’s general insurance policies. Interface with outside insurance agents, maintain files on all company policies for each site and ensure that each site has copy of policies. Maintain company vehicle list for all sites.

Stock Options Plans

Oversee the administration and maintenance of the Company’s Stock Option Plans using “Equity Edge” software. Maintain records of all grants, exercises, cancellations, stock market prices, etc. Generate monthly reports and other reports when requested.

Other Responsibilities

Prepare: Presentations for executives, the Chairman and Vice-Chairman; Board of Directors books for all Board Meetings - 12 copies (3 or 4 times a year); monthly financial report for Board of Directors - 7 copies; monthly financial report for division presidents - 6 copies.

Type letters, memos, and statistical data, sending/receiving faxes, prepare expense reports, code bills, maintain electronic calendars for supervisors, and check electronic mail in supervisor’s absence. Screen telephone calls, open and distribute mail. Serve as travel coordinator for the Finance Department. Arrange conference calls with division presidents, bankers and analysts; and finance meetings for division CFO’s (3 times a year). Coordinate with outside accounting firm on various financial documents.

Prepare/revise database spreadsheets, update special payment list (monthly), assemble and distribute accounts receivable report (weekly), prepare data for input into Proxy (once a year), input all manual checks written by divisions into corporate banking system and maintain all finance files.

Back up MIS person in area of tape backup and general maintenance of network.

MINIMUM REQUIREMENTS:

  • Associate’s degree (A.A.) or equivalent from two-year college or technical school

  • Three years related experience and/or training; or equivalent combination of education and experience

PREFERRED QUALIFICATIONS:

  • Working knowledge of Microsoft Word, PowerPoint, Excel, Microsoft Mail, Lotus 1-2-3, Harvard Graphics, Equity “Edge, Edgarlink and CompuServe.
